Create welcome email

A welcome email is sent when someone purchases their first subscription from you with necessary information. You control this welcome email and here you will find all the information you need.

Intro

Welcome emails are automatically sent to members who have purchased a subscription and registered a profile in Wondr.

The welcome email is sent automatically if they purchase themselves via the website and if they have received help from staff on site who have set them up manually (but the email can be turned off by staff if they solve everything on site).

Using different settings, different welcome emails can be sent depending on which subscription was purchased, which language was choosen, etc.



Setup

  1. Go to Settings > Communication > Email .

  2. Click the plus sign next to the Welcome email box.

  3. Fill in the settings that are relevant to you and how you want your email to work. Below is an explanation for each setting.

Name

Internal name for the email that is only visible in Wondr (not something that is ever visible externally).

Subject

The subject line of the outgoing email. The code $(Wondr.name) that is specified is a code that automatically retrieves your facility name. It is perfectly possible to delete all text and replace it with your own.

Layout

The layout controls how the email ends, e.g. "Best regards, friends at facility X". The default layout can be edited via "Email layouts".

Priority

No need to change if there is only one welcome email. However, if there are several different emails with different active filters such as subscription, language and facility, the priority will help the system determine which welcome email to send. Enter as low a number as possible for the email that should be sent primarily and then continue upwards to create a priority order for your different welcome emails.

Content HTML

The text of the email. Here is a suggestion that can be used but it is also very easy to delete it and replace it with your own text. The email will always end with the text specified in the layout but is not visible in this box. So you do not need to add "Best regards..." it is automatically added via the selected layout.

Facility

It is possible to have different welcome emails for different facilities if you have more than one. Then create a welcome email for each individual facility with different texts and select here which facility this email belongs to.

Contains password

- Doesn't matter (Recommended)

Leave this as is if the same email will go out regardless of whether the customer registered themselves or with the help of staff. A password will automatically be included at the bottom of the email if they registered via staff (if they register themselves they will be asked to create a password).

- Yes

Specify this if the email should only go out when a customer registers via staff and have a different text than if they register themselves. NOTE! Then another welcome email needs to be created where you select "No" in this box with text for those who purchase their subscription on their own. Password will be included automatically.

- No

Specify this if the email should only go out when a person registers themselves and have a different text than if they register via staff. NOTE! Then another welcome email needs to be created where you select "Yes" in this box with text for those who purchase their subscription via staff. Passwords will not be included in this email as they enter one themselves when registering.

Subscription/Subscription Groups/Subscription Categories

Leave "None" if this welcome email should go out to all new customers regardless of which subscription they have purchased. Enter one or more subscriptions here if this email should only be sent to those who purchase a specific subscription. Subscriptions can be entered individually or via groups and categories depending on how your Wondr is structured. 

NOTE! If you make a selection here, it is important that you create multiple welcome emails for other subscriptions that are not included.

Example: Those who purchase a PT subscription should receive one email and those who purchase regular gym subscriptions should receive another.

Language

This setting does not control the language of the email. What it does allow is for one email to be sent to users who select Swedish as their native language and another email to those who select English. This is only an option if you have multiple languages active in your Wondr, if there is only one language no settings need to be made here.

Regardless of the choice made here, the textual content always needs to be entered in the correct language by you because it is not controlled by this function.

Example: All customers who choose English as the language will receive an English version of the email (then select English in this box and add English text). And all customers who choose Swedish as the language will receive a Swedish version (then create another welcome email and select Swedish here and Swedish content).

For inviting imported users

A function that is only used when importing users from another/old system. Leave "No, only for new users" to mean that this email will go out to new customers who register now.

Lastly click "Save" to complete the settings and activate the welcome email
